Terms of Service
Last updated 14 October 2026
These terms are an agreement between Siteviro and the company (the "Customer") that creates an account. By creating an account you confirm you are authorised to accept them on behalf of that company.
Siteviro is operated by its founder as a business that is not yet incorporated and is not yet registered with the Information Commissioner's Office (ICO). This notice will be updated with the registered company details and ICO registration number once available.
1. The service
Siteviro is an online platform for recording site inspections, registers, signatures and reports, and exporting them as PDFs. We may improve or change features over time. We will give reasonable notice before removing a feature you rely on.
2. Accounts and users
- The account owner controls the company account, its users, roles, sites and billing.
- You are responsible for everyone you invite or send a share link to, and for keeping sign-in details secure.
- Tell us promptly at support@siteviro.co.uk if you suspect unauthorised access.
3. Your responsibilities for inspections
Siteviro is a record-keeping tool. It does not carry out inspections and does not replace competent persons, statutory examinations (such as LOLER thorough examinations) or your health and safety duties. You are responsible for the accuracy of what is recorded and for acting on any faults, failures, due or overdue alerts. Alerts and dashboards help you but may be delayed or missed, so you must not rely on them as your only control.
4. Fees and billing
- Fees are a monthly base fee plus a charge for each site with register activity in that month, at the prices shown when you subscribe.
- Fees are billed monthly in advance for the base fee and in arrears for site usage. Prices exclude VAT (VAT is not currently charged; if VAT registration happens, it will be added at the prevailing rate).
- New companies get one 30-day free trial of the plan they choose. A card is needed to start it and is charged automatically when the trial ends unless you cancel before then. You can cancel at any time; cancellation takes effect at the end of the current billing month and fees already paid are not refunded except where the law requires.
- We will give at least 30 days' notice of price changes. If payment fails, we may restrict access after giving notice.
5. Your data
You own the data you put into Siteviro. You give us permission to host and process it only to provide the service. Our processing of personal data in your records is governed by our Data Processing Agreement, which forms part of these terms. See also our Privacy Policy.
You can export your records as PDFs at any time. After your account closes, data is deleted within 90 days, so please export anything you need to keep for your own legal retention periods.
6. Acceptable use
You must not misuse the service, including attempting to access other companies' data, uploading unlawful or malicious content, overloading the service, or reselling it without our permission.
7. Availability
We aim to keep Siteviro available at all times but cannot guarantee it will be uninterrupted. We may carry out maintenance, ideally outside UK working hours.
8. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything that cannot be limited by law. Otherwise, we are not liable for indirect or consequential loss, loss of profit, or loss arising from your inspections, site safety decisions or failure to act on records. Our total liability in any 12-month period is limited to the fees you paid us in that period.
9. Suspension and termination
You may close your account at any time. We may suspend or end your access if you seriously breach these terms or do not pay, after giving notice where reasonable.
10. Changes to these terms
We will give account owners at least 30 days' notice of material changes. Continuing to use Siteviro after that means you accept them.
11. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
